The steps outlined here apply to all types of branch-level accounts with full manual access to our dashboard.
1. Sign in to your dashboard
Start by logging in to your Estate Agent Feeds account. Depending on your security settings, you may be asked to complete multi-factor authentication (MFA) using your mobile phone. This extra step helps protect your account and keeps your property data secure. Once you are signed in, take a moment to familiarise yourself with the dashboard layout. The left-hand menu is where you will access core tasks, including property management, portal publishing, and account tools. If you are a new user, it is worth confirming that your account type is set correctly (standard branch or online agent), as this can affect available options and workflow.
2. Open My Properties
From the left-hand menu, select My Properties. This is your central workspace for managing listings manually. Here you can search existing records, check listing status, and quickly see current prices. You can also switch between sales, lettings, and commercial tabs, making it easy to manage different inventory types from one place. For each listing, you can view publication status, access attachments, and review scheduled portal submissions. This area also supports exporting and sharing property records, which is useful when collaborating internally or checking listing data before publication.
3. Create a new listing or edit an existing one
To add a new record, click Add Property in the top-right corner. This process is the same for both UK and overseas accounts. If you need to update an existing listing instead, click Edit beside the property entry, or select the property address to open it directly. Starting with the right action here reduces duplicate entries and keeps your property inventory clean. Before entering details, confirm whether the property is for sale, to let, or commercial, as what we export to portals will differ depending on what’s been entered.
4. Complete the property details thoroughly
The Property Details page contains a wide range of fields designed to describe the listing accurately. Add pricing, bedrooms, bathrooms, receptions, floors, status, and any price qualifiers. Include land or building size, tenure or leasehold details, and full address information. For overseas accounts, use the region and town pick-lists to standardise location data. Then add the summary description, key features, room-level content, and materially important information such as council tax, parking, heating, rights of way, flood risk, and service charges. Lettings and commercial listings also include specialist fields, such as included bills and commercial use classes. The more complete this section is, the better the listing quality and portal performance.
5. Save the record and upload media
Once the core details are complete, click Save Property at the bottom-right of the page. After saving, options for images and attachments appear at the top of the property page. Upload photos one by one or in bulk, then drag and drop to reorder them so the strongest images appear first. Add captions to improve clarity for applicants and buyers. Manual accounts can upload up to 50 photos per property, giving you flexibility to showcase key selling points.
6. Add attachments and compliance documents
Use the attachments section to upload files such as EPCs, floorplans, and brochures that can be published to portals. You can also include compliance documents for relevant listings, including electrical certificates, gas safety records, and HMO licences. Where applicable, set valid-from and valid-to dates on certificates so the system can help flag upcoming expiries. This is especially useful for lettings compliance and helps teams stay ahead of renewal deadlines.
7. Final check before publishing
After adding all details, photos, and documents, return to My Properties. Your new listing should appear at the top of the summary list, ready for publication to your connected portals. At this stage, do a final quality check: confirm price, address, key features, media order, and required compliance files. A quick review before publishing reduces amendment requests and helps ensure a smooth go-live.
